Role Snapshot
· Portfolio: ~20–25 clients (existing + new)
· Meetings: Monthly + quarterly (Zoom)
· Includes: Payroll + sales tax payments (as scoped)
· Mentorship: You’ll mentor/review a junior bookkeeper
· Tools: QuickBooks Online, Gusto, ADP, Pumble, Go High Level CRM, Zoom
· Culture note: We value flexibility and timeliness. Once a meeting is scheduled, we keep it.

What This Job Is Not (Please Read)
· Not micromanaged — you won’t get a minute-by-minute task list
· Not “no clients” bookkeeping — meetings and relationships are part of the role
· Not constant chaos — we use systems and timelines (the pace is steady and deadlines matter)
· Not “whenever” flexibility — flexibility exists inside commitments and deliverables
· Not a fit if you frequently reschedule, avoid accountability, or prefer to stay in the background
What You’ll Own
· Month-end close: accurate categorization, bank/CC reconciliations, cleanup, and consistent close for multiple clients
· Issue-spotting + resolution: catching duplicates, miscategorizations, unclear deposits, and subscription creep before it snowballs
· Payroll + sales tax workflows: managing payroll through Gusto/ADP, coordinating sales tax payments, and ensuring proper reflection in QBO
· Client meetings + reporting: leading monthly/quarterly meetings and translating financials into clear takeaways and next steps
· Mentorship: reviewing a junior bookkeeper’s work with kind, specific feedback that teaches the “why.”
· Organization: keeping tasks, notes, and communication documented in Go High Level and team systems
Non-Negotiables (Must-Haves)
· 5+ years of multi-client bookkeeping experience (firm or equivalent portfolio)
· Strong QuickBooks Online skills (reconciliations + month-end close)
· Payroll experience using Gusto and/or ADP
· Experience coordinating sales tax payments
· Strong working knowledge of P&L, Balance Sheet, and Statement of Cash Flow
· Ability to explain reports in clear, non-technical language (especially in meetings)
· Reliable follow-through, strong organization, and a high standard for accuracy
